"Compress the PDF" sounds like a simple instruction, but the results can vary wildly depending on what's actually inside the file and which setting you choose.   • Balanced: commonly lands around 3-6 MB. This is usually indistinguishable from the original at normal screen viewing sizes.
  • Best Quality: commonly lands around 8-12 MB. Noticeably smaller than the original, with image quality very close to the source.

Actual results vary by document — a file that's almost entirely vector graphics or text will barely move regardless of preset, while a file full of high-resolution photographs will show the biggest swings between presets.

Practical Tips for Better Compression Results

  1. Don't compress an already-compressed file again. Running a file through compression a second time rarely reduces size further, and can introduce a small amount of unnecessary additional quality loss.
  2. Compress after merging, not before. If you're combining several image-heavy PDFs with Merge PDF, merge first, then compress the combined result — it's one operation instead of several, and the final size is what actually matters.
